medRxiv preprint license update guide

Funders often require that their grantees share their research output using a license with specific re-use rights. In order to comply with such funder requirements, authors can now update the license of their posted preprints without submitting a new version, as long as it was posted in the last 2 years. This update only applies to the most recent version of the preprint. License updates can be requested even if the preprint is already published in a journal.

Please note: The update feature is not available if there is an incomplete revision in the submission system or a previous license request is pending approval. If your preprint has not been published in a journal and you have already initiated a revision, please update the license when you submit the revision. If you erroneously requested a license update that is incompatible with a funder's policy, please email us with the manuscript ID at medrxiv@openrxiv.org.

Step-by-step instructions:

1. Log into your author area from the medRxiv submit page.
2. Navigate to the 'Request License Update' box on the right side of the page.
3. Click on the link 'Update license choice on previously posted papers'.
4. You are then redirected to a landing page that displays your posted preprints that are eligible for this update.

   Please note: You can request this only if you were the corresponding or submitting author on a preprint. Also, this page will only display preprints that were posted less than 2 years ago. Older preprints, preprints that are currently being revised, or preprints that are closed due to inactivity are not listed, and therefore unavailable for license updates.

5. Select the preprint you would like to request this update for by clicking on the manuscript ID on the left.
6. Fill out the form that appears on the next page. Carefully select the desired license option from the list provided by clicking on the appropriate radio button.

   Please note: This update changes more restrictive licenses to less restrictive licenses. You cannot make a change in the opposite direction to a more restrictive license since Creative Commons licenses are immutable and existing PDFs on the internet would render the update ineffective. If you submit such a request via the form, you will receive an error message.

7. Once you have made the correct choice, click on 'Submit request to change the license'.
8. You will receive an email confirming the receipt of your request.
9. The update should be displayed in 2-3 business days. If you do not see the change reflected on your preprint in the medRxiv website, please email medrxiv@openrxiv.org.
